Accounts Receivable and Contract Billing
- Oversee contract billing work and submit monthly billing reports to DDS and DCF. Oversee the Accounts Receivable function, make deposits, record payments, and follow up on past-due items. Record contributions in the accounting system and perform monthly Finance/Development reconciliations.
- Responsible for the monthly reconciliation of Accounts Receivables aging reporting to the general ledger reporting.
Accounts Payable
- Oversee the accounts payable process including processing invoices, collecting vendor and client documentation and information, setting up vendors and clients in BILL, and supporting vendors and clients as needed.
- Review BILL for invoices that need to be approved and/or paid and follow up with the CFO and staff as needed.
- Manage staff, vendor, and client inquiries regarding invoices, payments, coding and allocations, supporting documentation, and reimbursements.
- Oversee the annual 1099 process.
Monthly/Yearly Closing
- Assist the Director of Finance in the monthly accounting close process in a timely and consistent, and accurate manner. Specific duties to include general account reviews, journal entries, manage spreadsheets, bank reconciliations, remote deposits and accounts receivables support.
- Assist the Director of Finance the annual accounting close process in a timely and consistent, and accurate manner. Assist with preparing support documentation requested by our auditors for the annual financial and uniform financial reporting audit engagement.
Youth PEX Card Management
- Manage all aspects of HopeWell’s PEX Card accounts, including ordering cards, activating, and deactivating cards, adjusting card balances, etc.
- Prepare and reconcile the monthly Excel PEX Card spending worksheet and summarize for general ledger entry to record the PEX Card accounts monthly program spending.
Client And Foster Parent Accounting
- Process and generate monthly and quarterly Client stipend payments.
- Process quarterly respite payments to foster parents.
- Oversee the monthly charges for care and representative payee arrangements and provide our program leadership with support related to this work.
- Oversee provider payments process and ensure required bi-monthly payments are processed.
Other
- Monitor HopeWell’s abandoned property and prepare state filings as needed.
- Support on special projects and assignments. Other duties as assigned.
The Expertise We Can’t Do Without (Qualifications)
- Bachelor’s degree in accounting, finance, business, or related field preferred
- Minimum of 3 years’ experience in the accounting field
- Knowledge of automated accounting systems, preferably Intacct.
- Experience in financial management and analysis for not-for-profit accounting.
Additional Skills That Set You Apart
- Proficient in Excel, Word, and Outlook-advanced MS Excel user strongly preferred.
- Experience with electronic billing for Commonwealth of Massachusetts state systems a plus.
- Ability to manage sensitive/confidential information appropriately.
- Strong organizational skills and attention to detail and accuracy
- Ability to adapt to fast-paced and changing environments.
